Booking Policy
This policy sets out the practical steps from enquiry through to travel. All financial figures are configurable and must be completed by the company before publication.
LEGAL NOTICE: These documents are website templates and should be reviewed and approved by the company's UK legal adviser before publication.
1. Enquiry
Send your requirements by form, phone, email or WhatsApp. No payment is taken at enquiry stage.
2. Quotation
We reply with a written quotation showing the inclusions, hotel category, duration, room type and the price basis. Quotations are valid for [validity period] and subject to availability.
3. Booking confirmation
Your booking is confirmed only when we issue a written confirmation and the required payment has cleared.
4. Deposits and balance payments
Deposit: [deposit amount or percentage]. Balance due: [number of days] before departure. Late payment may result in cancellation and loss of the deposit in line with the cancellation policy.
5. Payment methods
Accepted payment methods: [list accepted methods]. [State any card surcharge rules — surcharges on consumer card payments are restricted under UK law.]
6. Passenger information, passports and visas
Names must match passports exactly. Provide passport details by [deadline]. Visa requirements are set by the destination authorities and can change at any time.
7. Changes by you
Amendment requests are subject to availability plus any airline, hotel or supplier charges and our administration fee of [amount]. Name changes may be treated by airlines as a cancellation and rebooking.
8. Changes by suppliers
Airlines and hotels may change schedules or accommodation. We will tell you as soon as we are informed and set out your options in line with your rights.
9. Cancellation, no-show and missed flights
Cancellation charges are set out in the cancellation policy. No-shows and missed flights are usually non-refundable under airline and hotel rules.
10. Force majeure and supplier failure
Where an event outside our control or a supplier failure affects your booking we will explain the options available and what protection, if any, applies. [Complete once financial protection arrangements are confirmed.]
11. Special requirements
Tell us about mobility, medical or dietary requirements at enquiry stage so they can be checked with suppliers.
12. Complaints
Follow the complaints policy. We aim to acknowledge within [number] working days.
